Office catering in Karachi: pricing it per head, properly
Catering quotes look simple and go wrong in the details — service, crockery, delivery window and headcount changes. Brief those four and you will not be surprised by the invoice.
What to specify when you ask for a rate
Vendors quote what they are asked. Give them all of this and the quotes you get back will be comparable to each other — which is the whole point.
- Headcount, and how firm it is. Give a number and say whether it may move. Most caterers hold a final-count deadline of 24 to 48 hours.
- What kind of meal. Tea and snacks, working lunch, buffet, or full event. These are different price brackets entirely.
- The menu, or the budget per head. Either specify dishes or state a per-head budget and let them propose. The second usually gets you better value at small scale.
- Time and delivery window. The exact time it must be on the table, not when it leaves the kitchen.
- Location and access. Which area of Karachi, which floor, is there a lift, is there parking for a van.
- Service and equipment. Disposables or crockery, chafing dishes, staff to serve and clear, tables and covers. Each is chargeable and each is often assumed.
- Dietary requirements. Any restrictions, and whether anything must be prepared separately.
Questions worth asking before you agree
- Is the quote per head or for the whole order?
- Are disposables, serving equipment and delivery included?
- When is the final headcount due, and what happens if it changes?
- Is there a minimum order?
- Who collects the equipment afterwards, and when?

What a fair price depends on
Rates move with quantity, material, finish and how fast you need it — which is why a single published price would mislead you more than it helped. The reliable way to find out what your job costs is to describe it once and let vendors quote it.
